Executive Assistant to Chief Production Officer

The Executive Assistant is to provide high-level administrative and organizational support to the Executive Vice President and Chief Production Officer (EVP & CPO). The Executive Assistant will also directly assist and support the direct reports of the

Executive Vice President and Chief Production Officer (EVP & CPO).

RESPONSIBILITIES

  • Provide all administrative support to EVP & CPO and the EVP & CPO’s direct reports; assist them in managing
  • their leadership teams by tracking any deliverables and ensuring that they are completed on the dates committed.
  • Schedule all meetings and appointments for the EVP & CPO and the EVP & CPO’s direct reports with full access to
  • calendars and the ability to send meeting requests on their behalf’s to meeting attendees.
  • Update all of the EVP & CPO contacts; including facility contacts for all business lines.
  • Handles all phone calls during the EVP & CPO absence; communicate messages accurately and handle any requests
  • personally whenever possible.
  • Update all of the EVP & CPO and the EVP & CPO’s direct reports PowerPoint presentations for executive team
  • meetings, investor meetings, and various company update meetings ensuring that all content is current and accurate.
  • Schedule all recurring meetings with internal teams and create and circulate the agenda.
  • Arrange international and domestic travel including air, lodging, and ground transportation; manage travel
  • profile on Egencia.
  • Coordinate and complete agendas for visitors, book hotel reservations and provide the administrative support as
  • needed.
  • Assist in the organization of company events and off-site corporate meetings / events, which involves site selection,
  • arrangement of audio/visual and food/beverage needs, etc.,
  • Manage and maintain EVP & CPO’s travel and expense reports, timekeeping records, files, and corporate credit card
  • profile; including EVP & CPO’s direct reports.
  • Other duties as assigned.

REQUIREMENTS

  • High School Diploma / GED required.
  • Bachelor’s degree (BA/BS) is preferred.
  • Minimum 10 years’ business related experience preferably as an Executive Assistant.
  • Must be able to fluently speak and write in German.
  • Excellent working knowledge of computers, proficient in Microsoft Office, Outlook and regular office equipment.
  • Strong attention to detail and listening skills.
  • Ability to effectively address complex issues in an effective and efficient manner, and with complete discretion;
  • ability to be entrusted with sensitive and confidential information.
  • Result-driven with excellent judgment, and decision making, interpersonal, verbal and written communication.
  • Ability to work under pressure and adjust to a diverse working environment.
  • Ability to manage multiple relationships both internally within the company and externally with clients.
  • Knowledgeable of international and domestic travel to ensure company rules and policy to complete travel
  •  documents (e.g., travel advances, arrangements, travel expense claims).
  • Ability to handle multiple tasks in a fast pace environment with rapid growth.
